Auto-Match Rules allow you to automatically add products to a Product Set based on criteria like product name or price. Instead of manually searching for and adding each product, you define rules and Submatic finds matching products for you.
Auto-matched products are kept up to date automatically. When your product catalog changes (for example after syncing inventory from your POS), any Product Sets with Auto-Match Rules will be refreshed so that new products matching your criteria are included and products that no longer match are removed.
Note: Auto-Match Rules are only available for Product Sets, not Category Sets.
Set Up Auto-Match Rules
- Create a new Product Set or edit an existing one (see Item Sets for general instructions).
- Click the "Auto-Match Rules" button to open the rules panel.
- Choose a match type:
- Match All — a product must satisfy every rule to be included (AND logic)
- Match Any — a product only needs to satisfy one rule to be included (OR logic)
- Add one or more rules. Each rule has three parts:
- Field — choose "Title" or "Price"
- Operator — for Title: "contains" or "does not contain". For Price: "greater than", "less than", or "equals"
- Value — the text to match against (for Title rules) or a dollar amount (for Price rules)
- Click "Add Rule" to add additional rules. Click the trash icon to remove a rule.
- Click Save Changes. Matching products will be found and added to the set automatically.
Examples
Example 1: A Coffee Shop wants a Product Set containing all Latte variations. They add a single rule: Title contains "Latte". Any current or future product with "Latte" in the name will be automatically included.
Example 2: A retailer wants a Product Set for items priced above $100 but excluding shoes. They set the match type to "Match All" and add two rules: Price greater than $100 and Title does not contain "shoes".
Combining Manual and Auto-Match
You can use both Manual Lookup and Auto-Match Rules on the same Product Set. This is useful when your rules cover most of the products you need, but you want to manually include a few extras that don't match the criteria.
In the product list, auto-matched items are labeled with an "Auto" badge. Manually added items have no badge.
Note: Auto-matched items cannot be individually removed from the set. To exclude an auto-matched product, adjust your rules or add a "does not contain" rule for that product's name.
How Refresh Works
- On save — when you save a Product Set with Auto-Match Rules, the matching products are found and added immediately.
- After inventory sync — when your product catalog syncs from a connected POS system (Square, Lightspeed, etc.), all Product Sets with Auto-Match Rules are automatically refreshed. New products that match your rules will be added, and products that have been removed from your catalog will be cleaned up.
- Manual refresh — click the "Refresh" button on the Auto-Match Rules panel to manually trigger a refresh at any time. The button displays the number of currently matched products.
